POSITION PURPOSE

Performs a variety of administrative and staff support duties for a specified unit/department, which require a range of skills and a knowledge of organizational policies and procedures. Assists and directs visitors, and resolves administrative problems and inquiries; composes, edits, and proofreads correspondence and reports, and prepares a range of administrative documents.

ESSENTIAL FUNCTIONS

  • Coordinates and performs a range of staff and/or operational support activities for the unit; serves as a liaison with other departments and operating units in the resolution of day-to-day administrative and operational problems;

  • Provides administrative support for the department/division such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries;

  • Operates computer to compose and edit correspondence and/or memoranda from verbal direction, or from knowledge of established department/division policies;

  • Schedules and coordinates meetings, events, interviews, appointments, and/or other similar activities for supervisors;

  • Prepares or assists with the preparation of scheduled and/or ad hoc statistical and narrative reports; performs basic information gathering and analysis and/or forecasting, as specifically directed;

  • Assists unit management and staff in problem solving, project planning, and development and execution of stated goals and objectives;

  • Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analyses and calculations in the processing of data for recurring internal reports;

  • Sorts, screens, reviews, and distributes incoming and outgoing mail; composes, prepares, or ensures timely responses to a variety of routine written inquiries;

  • Requisitions supplies, printing, maintenance, and other services;

  • Supervises and trains student employees and/or Co-op students, as required;

  • Review and approve student employees and Co-op students timecards for Financial Aid department;

  • Reviews student applicants and support scheduling of interviews with supervisors;

  • Prepare and present student job offers to student employees;

  • Hosts student employment new hire orientations;

  • Communicates acceptance of offers, positions, and eligible start dates to supervisors;

  • Inputs and updates student information into the HR module of Jenzabar;

  • Collaborates with  external community resources to secure reading tutors to meet and maintain the federal workstudy regulations. 

  • Coordinate with the Career Readiness and Cooperative Education department to ensure all programmatic tasks and events are cared for timely along with supporting supervisor training;

  • Perform and manage all budgetary needs for the student employment department. ;

  • Be the overarching vision and scope of student employment and how it is integrated into the Universities Co-op model;

  • Be able to understand and manage the regulations that govern student employment  pertaining to Human Resources and Federal Work Study;

  • Assists supervisors with creating job descriptions;

  • Review, approve and post job postings to necessary websites;

  • Review and monitor websites;

  • Notifies the HR department with necessary disciplinary notifications related to student employees.

  • Prepare and present supervisor training;

  • Prepares and tracks student employee and supervisor survey completion;

  • Performs other duties as assigned.

SPECIALIZED KNOW-HOW & SKILLS

  • High School Diploma or equivalent;

  • Knowledge of supplies, equipment, and/or services ordering;

  • Ability to communicate effectively, both orally and in writing;

  • Ability to maintain confidentiality;

  • Ability to gather and analyze statistical data and generate reports;

  • Ability to gather data, compile information, and prepare reports;

  • Records maintenance skills;

  • Ability to maintain calendars and schedule appointments;

  • Database management skills;

  • Ability to analyze and solve problems;

  • Ability to lead and train staff and/or students;

  • Ability to make administrative/procedural decisions and judgments;

  • Word processing and/or data entry skills;

  • Ability to create, compose, and edit written materials;

  • Organizing and coordinating skills;

  • Knowledge of general accounting principles;

  • Ability to record and transcribe meeting minutes;

  • Receptionist skills.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

  • No or very limited exposure to physical risk;

  • No or very limited physical effort required;

  • Work is normally performed in a typical interior/office work environment.
