POSITION PURPOSE

Supports institutional recruitment, persistence, and completion goals by monitoring, updating, completing term and registration set-up, institutional data processing oversight and report request fulfillment as it relates to the functionality of the Jenzabar student information system and other software platforms utilized in the Registrar's office.  Ensures student information system student life cycle processing is functioning, and troubleshoots and intervenes when processes are incomplete, errors are found, or system is not working properly. Reviews student information system notices and information manual regarding software updates, tests database functionality after software upgrades are made to ensure student life cycle functions perform as expected and in accordance with institutional policy and practices.

 

Responsible for query creation and submission of all enrollment and degree conferral data to the National Student Clearinghouse and for reviewing and correcting error reports. This individual reviews student data history and completes deferment confirmations to third party inquiries; responds to all record data requests by faculty, staff and institutional leadership team; and completes the academic record recalculation and institutional academic standing processing tri-annually of students. Assists Registrar staff to provide data reports as they relate to course schedules, enrollment review, degree audit review and degree conferral/institutional honors awarding. Provides relevant historical and live data to constituents so leadership team members are able to employ effective retention strategies and make data driven decisions regarding course scheduling, academic program array and student life activities.

ESSENTIAL FUNCTIONS

Student Information System Functional Lead - Records

  • Completes academic term set-up, registration appointment assignments, and academic record recalculations as needed and ensures automated processing is performing as expected on a daily basis.
  • Sets up and maintains database table data for SIS records data including items such as CIP codes, major/minor programs, course subject, etc.
  • Ensures academic standing calculations are completed tri-annually at conclusion of each semester once grades are assigned to individual student records. Assists with notification and warning process to at-risk students.
  • Troubleshoots issues related to records in the student information system (Jenzabar) and assists office staff when issues arise from other software platforms utilized by records staff.
  • Creates automated reports that allow multiple users to access information as needed

Compliance/Report Request Fulfillment

  • Monthly (at a minimum) all student enrollment and degree record data to the National Student Clearinghouse on behalf of the institution.
  • Reviews error reports and works with financial aid staff to ensure data is accurately reflective of student enrollment activities and degree completion.
  • As part of this reporting, reviews and complete deferment document solicitations for lending institutions and other third party requestors.
  • Responds to data/record requests from internal and external constituents regarding student data submissions and provides data query reports
  • Assists staff with query and reports to ensure accurate data is provided for analysis and review.
  • Creates automated reports that allow multiple users to access information as needed

Other Technical Related Duties

  • Maintains content of academic records related materials, forms and hyperlinks located on My.Lakeland web site.
  • Creates and updates all PDF transactional forms utilized in the Registrar office area.
  • Troubleshoots software related issues and liaisons with the Information Technology team to resolve functional issues with assistance or direction by the IT staff.
  • Consults with IT staff on records and student information related issues, provides guidance and intervenes as able to in support of student academic record activities.
  • Participates in all campus related activities as part of the Registrar office team and all-campus Data Management team.

Retention Strategies

  • Activities completed regarding registration, degree audits and enrollment reporting all contribute toward retention strategies of institutional members.
  • Provides relevant historical and live data to constituents so leadership team members are able to employ effective retention strategies and make data-driven decisions regarding course scheduling, academic program array and student life activities.

Other Duties

  • Works with other members of the Registrar's Office team to collect, process, and correct mid-term and final grades as directed by supervisor
  • Participate in cross-training to support functionality of team.

SPECIALIZED KNOW-HOW & SKILLS 

  • Bachelor's Degree (Computer Science or Management Information Systems preferred)
  • Experience working with databases, query function and report writing using SQL (preferably in higher education environment)
  • Experience with federal, state compliance reporting and accreditation standards (knowledge of the National Student Clearinghouse, IPEDS preferred)  
  • Demonstrate ability to maintain a high degree of confidentiality;
  • Ability to effectively manage time and priorities;
  • Ability to prioritize office workflow and make effective administrative decisions to increase efficiency, accuracy, and productivity;
  • Demonstrated ability to tactfully and effectively communicate (written and verbal) with a variety of individuals;
  • Strong critical thinking skills;
  • Must be proficient in the use of Microsoft Office (Excel, PowerPoint and Word) or similar products;
  • Demonstrates organizational ability, and attention to detail and accuracy;
  • Ability to work independently as well as in a team environment;
  • Ability to work evenings or weekends as needed.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

  • No or very limited physical effort required
  • Work is normally performed in a typical interior/office work environment
  • No or very limited exposure to physical risk
  • Requires occasional work outside of normal business hours.
